Microsoft Entra self-service password reset (SSPR)

Users reset their own passwords. The first delegation question that should be asked — and isn't, often enough.

Best for
Orgs that want users themselves resetting their passwords without anyone else's involvement.

Free with Microsoft Entra ID P1 license (often included in M365 Business Premium, A3/A5, E3/E5).

What it is: Microsoft's built-in self- service password reset feature. Users register authentication methods (phone, alternate email, security questions, authenticator app); when they're locked out, they go topasswordreset.microsoftonline.com, verify identity, and reset their own password.

Strengths:

  • Zero ongoing delegation work — the user does it
  • Free with P1 (likely already in your M365 plan)

  • Reduces password-reset ticket volume more than any delegation tool would

Where it falls short:

  • Requires user enrollment (auth methods registered) — orgs with low IT-engagement see slow adoption

  1. Start with Entra SSPR. If you have P1 (most orgs do), enable it. It deflects the majority of password reset tickets without anyone else needing to be involved.
  2. For the residual cases (user lost all auth methods, account locked out of SSPR), pick based on who handles them:

Frequently asked questions

Q01Should I enable Entra SSPR even if I'm planning to use UserDesk?

Yes. SSPR and UserDesk solve different cases. SSPR handles users who know their old password (or can verify auth methods) and want to change it themselves — most resets. UserDesk handles users who can't self-serve (lost auth methods, account locked) and need someone else to reset for them — the residual but still-frequent case. Running both is the right answer for most orgs.

Q02Can a delegate reset a Global Admin password?

By default, no. Microsoft updated the User Administrator and Helpdesk Administrator roles in 2024 to prevent password resets for users in protected admin roles (Global Admin, Privileged Role Admin, etc.). UserDesk respects the same restriction. To reset a Global Admin password, you need another Global Admin to do it, or specific override roles.

Q03What's the cheapest way to delegate password reset?

Helpdesk Administrator role — free, narrowest native role, 1-minute setup. Works when the delegate is IT-fluent and password reset is the only thing being delegated. If the workflow is broader (also new hires, licenses, groups), the User Admin role or UserDesk become better fits despite being broader/paid.

Q04Does UserDesk send the new password to the user automatically?

You pick — three delivery options on every password reset: show on screen (delegate reads it to the user), email to the user's recovery email address, or SMS to phone on file. All three trigger Microsoft's standard "require password change at next sign-in" option (defaulted on) so the temp password gets replaced immediately.

Q05What about MFA? Does the delegate need to handle MFA too?

Password reset and MFA are separate flows. Resetting a password doesn't reset the user's MFA methods. If a user lost their authenticator app AND can't get into account, you need to revoke MFA methods separately (Helpdesk Admin and User Admin roles both grant this; UserDesk's Admin and Member roles include it). Worth scoping this when picking your approach — orgs that lose phones often need both delegated together.
